Two features get used once the daily entries are in place: a statement you can show someone, and a reminder that you still want to be paid (or need to pay). They look similar from the outside. They are not the same tool.
A statement is a picture of the ledger. A reminder is a nudge. Neither one collects the money. BahiQo still isn’t a payment app.
What a statement is
A customer or supplier statement is the list of credits and payments for that party, with the running outstanding. You generate it in the app, download it as PDF, and share it through WhatsApp or any other app on the phone.
Use a statement when the other person needs to see the same numbers you see. “You have 14,200 pending” is easy to argue with. A dated list of You Gave and Payment Received lines is harder to argue with — if those lines were entered correctly.
If the statement looks wrong, don’t decorate it with a note that says “actual is 11,000”. Fix the entries, then generate again. The PDF is only as honest as the khata.
When a reminder helps
A payment reminder is for the moment you would have called anyway. Due customers on the dashboard are a queue, not a judgment. Send a reminder when you have a real due date or a real conversation in progress.
BahiQo can also show in-app and push notifications so you see activity without opening the ledger every hour. A push notification is a short alert on the phone from the app. It is not an SMS from BahiQo to your customer unless you are using the reminder action yourself.
Don’t remind ten people at once “to clear the list”. People ignore that, and you train yourself to ignore the due list too.
The dashboard is the daily check
Before you share anything, glance at the dashboard: total outstanding, today’s credit, today’s payments, due customers, recent transactions. If today’s payments don’t match the cash you counted, stop and find the missing Payment Received. Sharing a statement from a day that isn’t entered yet only spreads the error.
Staff, devices, and who can see the khata
People signed into your account, and staff you add to that business, can work on that khata. Another shop on BahiQo cannot open your ledger. If a phone is lost, use device management in settings so that device is no longer signed in.
Sharing a PDF is different. Anyone who receives the file can read it, the same as if you photographed a page of the paper book. Share with the party it belongs to, not in a group chat “for convenience”.
Limits worth keeping in mind
- A reminder does not create a legal case and does not guarantee payment.
- Payment method labels on entries are not proof that a bank transfer succeeded. They are how you tagged the line.
- If staff enter duplicate payments, the statement will look more settled than the cash drawer. Check recent transactions when something feels off.

Keep the khata correct first. Then a PDF statement is a clean way to show the same book to the other person, and a reminder is a controlled nudge for the people you already planned to follow up with.
